- You have selected the Phone Auction System (PAS) by Data Rx.
- This system will eliminate hours of scheduling auction bidders, worrying about
- whether or not you have omitted a client or lot number, or miscounted the
- number of people you need to man the phones. PAS will even retain pertinent
- client information on an auction to auction basis: customer number, address,
- phone.

- The purpose of the system is to provide Richard Wolffer's Inc. with an
- automated method for identifying:
-
- (1) Clients bidding by phone, including client and paddle #, name,
- address and phone to be reached at during the auction;
-
- (2) Specific lots of interest by client, individual or ranges of lots;
-
- (3) Number of phone lines required for the auction - configurable
- based on the zone interval provided by the auction
- representative;
- and
-
- (4) Optimal assignments of phone personnel by bidder # - also
- configurable based on the zone interval provided by the auction
- representative.

- Installation Hardware Requirements
-
- Make certain you have the following equipment:

- IBM PC/XT/AT/386/486 compatible computer
- Hard Disk of 20 Meg minimum
- Any monitor (CGA,EGA,VGA,SVGA)
- 400 KB RAM
- 2 Meg of free hard disk space
- Mouse is supported

- Working with the PAS System
- ___________________________

- PAS is a complex system consisting of FoxPro database files for populating
- and maintaining the auction data base and some executable modules written
- in C to address some advanced functions that FoxPro does not support.

- To run the program type : PAS (This starts a batch file called PAS.BAT)
-

- Program Flow
-
-
- An initial system introductory logo menu will appear.
- Just press any key to continue.
-
- The Main menu appears. It has three options:
-
- (1) Data Base Manager
-
- Manipulates the database of client
- information (Add, Delete, Search,
- Edit, etc)
-
- (2) Function
-
- Opens the next menu which
- processes the client database
- produce assignments of
- personnel, start a new auction, etc)
-
- (3) Quit
-
- Allows you to exit the program
-
- You may stay within the data base manager to enter all customer and lot
- identification as well as editing, searching, adding and deleting all fields
- that appear in the data base for a specific auction.
-
- Editing of Customer Number (and internal control number assigned by the
- auction house) and Paddle ID is performed to make sure that you haven't
- entered duplicates. Lot numbers that the customer is interested in may be
- entered as well (and edited, added to, deleted, etc.) either singly or in
- ranges, e.g. 4 - 67.

- All customer data resides in the data base for the entire auction. A new
- auction may be entered into through the Function submenu.

- Please note that the current version of the software only allows for 2 digit
- Paddle ID's. This was done on the basis of current client activity and computer
- resource efficiency. This means that up to 99 phone bidders can be scehduled
- for any one auction. Later versions of the software can be expanded to handle
- up to 999 phone bidders.

- When you select Functions from the main menu you will have
- the ability to perform five actions.
-

- (1) Full Scan
- Allows you to see and print customer
- option opens the final submenu.
- (2) Manual Scan
- Same as above except it is
- you need to know about a single lot.
-
- (3) New Auction
- This option erases lot information from the data base in preparation
- for starting a new auction phone
- bid process. Use this only when
- you have finished one auction and
- are ready to start a new one
-
- (4) Zones
- This option divides all lots into
- zones or intervals, e.g. 1-50 ,
- 51 -1 00, etc and provides
- information on who needs to be
- called within the zone interval.

- This option opens the final
- submenu
-
- (5) Assigns
-
- This option assigns the phone
- personnel to specific bidders
- in the optimal fashion. This
- option also opens the final
- Submenu.

- The final Submenu allows auction personnel to update, view and print the
- various files produced by the system.
-
- You may update, view or print the following three files:
-
- (1) Full Scan Provides a screen image or
- print capability to
- see the entire auction customer
- activity for phone bids.
-
- (2) Zones Provides the ability to change
- the zone interval as well as
- view and print zones. This is
- especially valuable when
- auction personnel wish to see
- how changes in intervals will
- affect the assignment of
- personnel.

- (3) Assign Provides a screen image or
- print capability to see how
- the phone bidders have been
- assigned for the auction
- (based on the current zone
- interval).

- Once PAS is Installed

- Do not run the PAS system from other programs like Norton Commander or Windows.
- We configured PAS for the quickest job but it requires a lot of RAM
- (at least 400K to run efficiently). If you are short of RAM please tell us and
- we will reconfigure the software at no cost to you; however it will work slower.

- Another major point of note is data entry of lots. Because of the nature of
- FoxPro the lots must be entered in a specific way. The lot numbers are entered
- as columns to allow the software to operate scanning functions that are
- particularly applicable for those customers who are interested in a range of
- lots. An example follows:

- Client is interested in lots 1, 16 and 145 - 167

- You enter:

- - (note the hyphen)
- 167

- In any event, always be careful when entering data. In the final analysis
- we have provided you with an extremely sophisticated tool.
- The person responsible for running the system will have the most discretion on
- setting Zone Intervals, and therefore, assignments of people.
